Add a signature in Outlook

Email signatures are common, especially in corporate environments. These signatures usually give you information about the sender of the email, and it often includes their details such as their name, position in the company, email address, and some other information. You can also add your signature to your Outlook emails if you prefer.

While we already have a guide about add signatures to your emails, the interfaces that allow you to do this have since changed. This guide covers the latest versions of Outlook for different platforms so that you can add a signature in Outlook for your computer.

Add a signature in Outlook for Windows

If you are a Windows user, chances are Outlook is your primary email client. It works extremely well on this platform and you can manage multiple of your email accounts from one app.

Adding a signature to Outlook for Windows is quite simple. You can also create separate signatures for each of your email accounts.

  • Start the Outlook app on your PC.
  • Click on the File tab in the top left corner of your screen to open a menu.
  • click on Options from the left sidebar on your screen.
  • Click on the next screen Mail in the left sidebar to access your email settings.
  • In the right pane, find the section that says Compose messages† Inside this section you will find a button labeled as Signatures† Click on it to open it.
  • click on New on the next screen to create a new signature in the app.
  • You will be prompted to enter a name for your signature. Do this and click Okay
  • Select your signature from the list and you can edit it directly in the box below.

    Here you can type your signature in plain text and then use the available formatting options to stylize it. You can also add images to your signature if you wish.

    In the Choose default signature section, select the email account you want to use your new signature for. Select your signature from the New messages menu if you want the signature applied to each of your new emails. You can also choose a signature to be used for your email replies and forwards.

    Finally click Okay when you are done creating your signature.

Add a signature in Outlook for Mac

You can also add a signature in Outlook for Mac, but the option to do so is in a different menu than in Windows. Aside from that, it gives you pretty much the same number of options and features to add and format your signature in the app.

  • click on launch pad in the Dock, search for Outlookand open it.
  • Click on the Outlook menu at the top and select Preferences
  • Click on the next screen Signatures in the E-mail section. Allows you to manage your email signatures.
  • Click on the (plus) sign in the Edit signature to add a new signature to Outlook for Mac.
  • A new window will immediately open where you can type and format your signature. As you can see, there are options to style your signature the way you want.
  • In the Choose default signature section, you can specify options such as which email account to use the signature in, whether to use it for your new emails, and also whether to include it in your replies and forwards.

Add a signature in Outlook for the web

Unlike the desktop versions, Outlook for Web isn’t much cluttered with options here and there and it’s quite easy to find the option to add your signature in the app. Basically all you need to do is launch the app on the web, click on an option and you’re all set.

  • Go to Outlook for the web and log in to your account if you have not already done so.
  • Click the settings icon in the top right corner and choose the View all Outlook settings choice.
  • Click on the next screen Compose and answer from the options available on your screen.
  • Once you do that, you’ll find a large white box on the right. There you can place your signature.

    Type your signature, use the available tools to format it, choose the appropriate options such as when you want to include it in your emails, and finally click Save At the bottom.

Using your signature in Outlook

Unless you’ve chosen to include your signature in all your outgoing emails, you’ll need to manually add it to each of your new emails. However, it is quite easy to do as the option to do so is easily accessible in the new email window.

  • launch Outlook and click new e-mail to compose a new email.
  • Make sure you’re inside the Message tab. Find the section titled as Involving in the tab and click Signature
  • The signature you created earlier should appear in the list. Click on it and it will be added directly to your current email.
  • If you want to use a different signature, click the Signatures option to do this.

Change your signature in Outlook

If any of the details in your signature changes, make sure your signature reflects that. Changing signature in Outlook for any platform is fully possible and you can do it as below.

  • In Outlook for Windows, click new e-mailselect Signatureand click Signatures† You can then select and edit your signature.
  • In Outlook for Mac, click Outlook > Preferences > Signatureschoose your signature and click edit
  • In the Outlook for Web version, click the settings icon, select View all Outlook settingsTo elect Compose and answerand you can edit your signature.
